Position Summary:
This position provides administrative and clerical support to and is a valuable member of the Resource Development department. This department is responsible for the development and implementation of all aspects of Valley of the Sun United Way's annual campaign and efforts of the foundation. This position provides direct support to the Vice President and Principal Gifts team, the Vice President of Constituent Development and reports to the department Executive Assistant.
Summary of Responsibilities:
•Administrative support for the Vice Presidents and Executive Assistant, (and other staff as needed) to include project and clerical work.
•Managing of calendars and appointments.
•Managing of correspondence with and providing excellent customer service to key volunteers and outside contacts while maintaining a professional demeanor at all times.
•Creating communications including letters, memos, minutes, reports, meeting agendas, etc.
•Meeting set up, including preparing materials for on and offsite meetings as required, and internal conference room reservations.
•Manage and execute the logistics of certain Resource Development events and activities as required. This could include venue, invitations, RSVPs, programs, vendor relations, contracts and all other event details.
•Extensive database management work.
•Spreadsheet manipulation/analysis.
•Participating member of the Support Staff team, including providing breaks and lunches, and planned and unplanned time off as needed for the front desk.
•Participating member of the Power User Team, providing technical support and assistance to the organization, and helping with projects as needed.
•Assists with other projects and duties as needed.
•Provides additional support to development department and organizational events
Knowledge, Skills, and Abilities Requirements:
•High School graduate or equivalent with additional administrative and word processing training, with minimum of five plus years in a progressively responsible administrative position.
oThe right combination of education and/or relevant experience may be substituted in lieu of degree requirements.
•Excellent typing of 50 wpm and word processing skills.
•Practical knowledge of professional administrative procedures.
•Effective written communications.
•Strong interpersonal skills, including conflict resolution, with ability to work with variety of personalities.
•Strong attention to detail.
•Ability to initiate and follow up on projects with minimal supervision.
•Ability to prioritize and manage time and tasks in order to meet strict deadlines and work in a fast-paced environment.
•Must be quick, a self starter, possess ability to look ahead and take charge of a situation.
•Strong customer service skills.
•Team player.
Technical Knowledge, Skills, & Abilities Requirements:
•Proficiency in Microsoft Office applications, specifically Word, Excel and Outlook. Heavy Excel and Spreadsheet experience with ability to construct and analyze data.
•Ability to research and find (“surf”) information from the internet.
•Proven comfort level working in a systems environment, with ability to learn and use new software and systems as required.
Other Requirements:
•Ability to work hours outside the standard 8:30 AM to 5:00 PM timeframe and to travel (locally), if necessary.
•Valid Arizona driver’s license, proof of automobile insurance, and daily access to personal vehicle.
•Professional appearance and demeanor a must.

Physical demands and work environment:
•Work is performed primarily in an office setting and while performing the duties of this job, the employee is regularly required to stand, sit, and demonstrate manual dexterity.
•During specific times of the year, the employee is required to visit a variety of direct service settings across the community. Additional mobility is required during this activity.
